Digital Denture Scanning and Replica Denture Service

Terms and Conditions

These Terms and Conditions apply to the digital denture scanning and replica denture service provided by At Home Dental Limited trading as Total Denture Solutions.

Definitions

1.1 Appointment The scheduled visit where we attend to perform the Scan and/or related services.

1.2 Authorised Representative A person legally authorised to act on the patient’s behalf.

1.3 Denture The denture or dentures presented for scanning, whether upper, lower, or both.

1.4 Domiciliary Service Fee The service fee applied per appointment for all domiciliary visits carried out in a patient’s home or care setting.

1.5 Price List The fees confirmed in writing at the time of booking or within a treatment plan or estimate issued to the patient. This applies to both new and existing patients and takes precedence over any indicative pricing.

1.6 Scan The digital 3D scan of the denture or dentures.

Where At Home Dental provides a new denture, the Scan is typically carried out at the point of fabrication by the laboratory or following denture fitting where clinically required.

Where adjustments or changes are made to a denture after fitting, a further Scan may be required. Any subsequent scans will be treated as a separate appointment and may incur additional charges in line with these Terms.

1.7 Replica Denture A denture manufactured using the Scan to replicate the denture that was scanned.

Contract formation and acceptance

2.1 You accept these Terms when you confirm a booking, make payment, sign consent documentation, or receive the service.

2.2 Where a care home or organisation arranges the service, it acts as the patient’s agent unless otherwise agreed.

2.3 Where documents conflict, priority applies in the following order:

a. booking confirmation or treatment plan b. these Terms c. other documents

The service

3.1 The service involves digitally scanning an existing denture or dentures using 3D scanning technology.

3.2 The Scan creates a digital record which may be used to manufacture a Replica Denture in the future if the original denture is lost or damaged.

3.3 The Scan may be provided either: a. as a standalone service for dentures presented by the patient, or b. as part of a denture treatment provided by At Home Dental in accordance with clause 4.

3.4 Scanning does not include clinical examination, diagnosis, impressions, bite registration, shade selection, or adjustments unless agreed in writing.

3.5 Where cosmetic or structural modifications are requested for a Replica Denture, these must be agreed before manufacture and may incur additional charges.

Dentures manufactured by At Home Dental

4.1 Where At Home Dental manufactures and supplies a new denture under a treatment plan, a digital denture scan is included as standard within the Total Denture Solutions service for all new dentures provided.

4.2 The purpose of the scan is to create a digital record of the completed denture so that a replacement denture may be manufactured more quickly if the original denture is lost, broken or damaged.

4.3 Where included within treatment, the Scan will normally be carried out as part of the denture fabrication process or following fitting where clinically required.

4.4 Where adjustments are made after fitting which materially alter the denture, a further Scan may be recommended to ensure an accurate digital record.

4.5 Any additional scans required following fitting or adjustment will be arranged as a separate appointment and may incur additional charges.

4.6 As the scan forms part of the standard treatment pathway, no reduction in treatment fees will be provided where the patient declines or does not proceed with the scan.

4.7 The scan records the denture itself and not the patient’s oral anatomy.

4.8 If a replacement denture is requested in the future it will be manufactured and charged according to the Price List in effect at the time of manufacture.

4.9 Where significant oral or anatomical changes have occurred since the denture was scanned, we may recommend a new denture rather than manufacture of a Replica Denture.

4.10 The scan may be carried out by a laboratory, trained scanning operative, or dental professional authorised under our clinical governance framework.

Eligibility and clinical suitability

5.1 The service may be provided in care homes or private domiciliary settings subject to operational coverage and safeguarding requirements.

5.2 We may refuse to scan dentures where scanning would be unsafe or clinically inappropriate.

5.3 Broken dentures may require repair before scanning.

5.4 We may postpone the service where infection or unstable medical conditions are present.

5.5 Final suitability is determined on the day by the attending member of our team.

Booking, preparation and access

6.1 Booking is arranged through our reception team.

6.2 Unless agreed otherwise, payment is required before attendance.

6.3 The denture must be available and cleaned before our arrival.

6.4 Safe and reasonable access to the patient must be provided.

6.5 If we cannot complete the service due to access issues, the visit will be treated as an aborted visit and charged accordingly.

Fees, payment and VAT

7.1 Fees are confirmed in writing at booking or within a treatment plan or estimate.

7.2 All prices are stated in pounds sterling.

7.3 Standalone Scan services are charged per appointment in accordance with the Price List.

7.4 Additional treatment such as repairs, relines, adjustments, or new dentures will be charged separately.

7.5 Unless confirmed otherwise in writing, the Scan fee is charged per scan appointment and not per individual arch. No reduction applies where multiple dentures are scanned within the same appointment.

7.6 The Domiciliary Service Fee is set out in Annex 1 and may be updated from time to time.

Cancellations and aborted visits

8.1 Late cancellation means cancellation with less than 48 hours notice.

8.2 Late cancellations or failed attendance will incur a charge equal to the Domiciliary Service Fee.

8.3 We may refuse the service due to safeguarding or clinical safety concerns.

Replica Denture limitations

9.1 A Replica Denture is manufactured to replicate the denture that was scanned.

9.2 Replica Dentures are manufactured using a digital scan of the denture itself and not a scan of the patient’s mouth.

9.3 Minor differences in comfort or fit may occur compared with the original denture.

9.4 Wear, staining, or imperfections present in the original denture may be reproduced.

9.5 Oral anatomy may change over time and identical fit is not guaranteed.

9.6 Where a Replica Denture requires review or adjustment after delivery, this will be arranged through a standard clinical appointment and charges may apply.

Delivery and risk

10.1 Delivery arrangements will be confirmed at the time of order.

10.2 Ownership transfers once payment is received in full.

10.3 Risk transfers on delivery.

Adjustments, remakes and warranty

11.1 Minor adjustments may be required after delivery.

11.2 Remakes are not included unless required due to a manufacturing defect or our error.

11.3 A 12-month manufacturing warranty applies to defects in materials or workmanship attributable to us or our laboratory.

11.4 The warranty does not cover loss, damage, misuse, staining, normal wear, or fit issues resulting from anatomical changes or the condition of the original denture.

Laboratories

12.1 We may use a UK dental laboratory subcontractor.

12.2 Your contract remains with us.

Scan storage

13.1 Scans are stored securely as part of the patient record.

13.2 Records will normally be retained for at least 11 years.

13.3 Retrieval of archived scans may incur an administrative fee.

Data protection

14.1 Personal data is processed in accordance with UK data protection law.

14.2 Patients may request access to their data.

Consent and safeguarding

15.1 Consent must be provided by the patient or Authorised Representative.

15.2 We may refuse the service where safeguarding or capacity concerns arise.

Complaints

16.1 Complaints should be raised with our reception team.

16.2 Services must be delivered with reasonable care and skill under the Consumer Rights Act.

Limitation of liability

17.1 Liability is limited to the fees paid for the relevant service.

17.2 Nothing excludes liability that cannot be excluded by law.

Governing law

These Terms are governed by the laws of England and Wales.

Annex 1 – Indicative Price Guide

Digital denture scan £95 per scan appointment

Replica denture £495 per arch

Post-delivery adjustment £45 plus any applicable Domiciliary Service Fee
